Practical AI Training in the Workplace – Two-Day Corporate Workshop
Artificial Intelligence is changing how employees communicate, analyse information, conduct research, prepare reports and manage everyday business processes.
College Africa Group’s Practical AI Training programme is a two-day corporate workshop designed to help employees use AI productively, responsibly and with clear business purpose.
Rather than teaching a collection of disconnected AI tools and features, the workshop starts with the work itself:
Business Problem → Process → Desired Outcome → Appropriate Tool → Context → Human Verification → Business Value
Participants explore practical applications of ChatGPT, Microsoft Copilot and other relevant AI tools while learning how to identify where AI can genuinely improve productivity, quality and business processes.
AI is the enabler, not the objective.

The CAG Practical AI Training AI Decision Framework
Participants use a consistent seven-step framework throughout the programme:
1. Problem
What business problem am I trying to solve?
2. Information
What information can I safely use?
3. Outcome
What result am I trying to create?
4. Tool
Which AI, software or approach is appropriate?
5. Context
What information and instructions does it need?
6. Verify
How will I check the result?
7. Value
Did it save time, improve quality, reduce cost or reduce risk?
The framework encourages participants to start with the business requirement, rather than automatically reaching for an AI tool.
The Four Levels of AI Use
The programme introduces four practical levels of workplace AI.
Level 1 – AI Assistant
Everyday productivity such as emails, summaries, documents, agendas and meeting notes.
Level 2 – AI Analyst
Using AI to understand spreadsheets, reports, business data, trends, comparisons and anomalies.
Level 3 – AI Researcher
Using AI for market, competitor, industry, policy and business research.
Level 4 – AI Workflow Partner
Moving beyond individual tasks to examine reporting, meetings and multi-step business processes.
These levels help participants understand how AI can progress from a personal productivity assistant to a tool for improving how work gets done.
Day 1 – Practical AI Training for Workplace Productivity
Day 1 of the Practical AI Training programme focuses on using AI effectively and responsibly in everyday work.
Session 1 – Think Before You AI
Participants receive a practical introduction to generative AI, including:
- What generative AI is and where its limitations lie.
- ChatGPT, Microsoft Copilot, Claude, Gemini and other relevant workplace tools.
- Free versus paid and business AI environments.
- Privacy, confidentiality and organisational governance.
- The Four Levels of AI Use.
- The CAG AI Decision Framework.
Practical Exercise
Participants identify three repetitive tasks and one frustrating multi-step process from their own work.
A short AI Risk Challenge explores when different types of business information may or may not be appropriate to use with AI.
Session 2 – Prompting, Verification & Responsible AI
Prompt Failure Lab
Participants see how the same business task produces different results as the quality of the instruction improves.
The workshop introduces:
Role → Task → Context → Source → Output → Constraints → Verification
Participants learn to provide better context, define the required outcome and refine AI responses conversationally.
Hallucinations & Human Verification
A practical demonstration shows how AI can make assumptions or generate convincing but incorrect information.
The CAG Human Check encourages participants to ask:
- What could be wrong?
- What assumptions were made?
- What needs verification?
- Is this information appropriate to share?
- Who remains accountable?
Plausible does not mean correct.
Session 3 – AI Doing Real Work
Participants apply AI to common workplace activities.
Emails & Communication
Use AI to draft, improve and shorten communications, summarise email threads, extract actions and prepare follow-ups.
Documents & PDFs
Summarise and compare documents, extract key information, identify gaps and prepare executive-ready summaries.
Research
Use AI to investigate business questions, compare alternatives and support market, competitor, industry and policy research while checking sources and dates.
Where useful, tasks can be compared across ChatGPT and Microsoft Copilot to demonstrate that tool selection should follow the business requirement through Practical AI Training
Session 4 – Meetings & Transcripts
Participants explore how AI can support an end-to-end meeting workflow:
Meeting → Transcript → Summary → Decisions → Actions → Responsibilities → Follow-Up → Next Agenda
The focus is not simply transcription. It is turning meeting information into usable business actions and communication.
Day 2 – Practical AI Training for Data, Workflows & Business Value
Day 2 moves beyond personal productivity into data, Microsoft 365, business processes and workflow improvement.
Analyse → Integrate → Improve → Measure
Session 5 – AI Analyst: Excel, Data & Business Reporting
Participants use AI to assist with spreadsheets and business data.
Applications include:
- Understanding unfamiliar spreadsheets.
- Asking questions about data in natural language.
- Explaining and improving formulas.
- Identifying trends and possible anomalies.
- Creating charts and visualisations.
- Preparing management commentary and executive summaries.
Participants also learn why calculations, underlying data and AI conclusions must still be verified.
Session 6 – AI Across Microsoft 365 & Business Work
This section of the Practical AI Training programme explores AI within real business workflows rather than teaching Microsoft Copilot as an isolated product.
Examples may involve:
- Outlook
- Word
- Excel
- PowerPoint
- Teams
- Microsoft Copilot
A business workflow might move through:
Email → Document → Spreadsheet → Analysis → Presentation → Meeting
Participants consider which tool is appropriate, what information it can access and whether AI is actually required for the task.
Session 7 – Practical AI Training From Tasks to Business Processes
Participants move from improving individual tasks towards examining the process around the task.
The key principle is:
Do not automate a broken process.
The workshop introduces:
Fix → Standardise → AI Assist → Automate → Measure
Participants examine a business process and look for:
- Duplication.
- Unnecessary steps.
- Standardisation opportunities.
- AI opportunities.
- Automation opportunities.
- Activities that still require human judgement.
This also helps distinguish generative AI from conventional workflow automation and other forms of business automation.
Session 8 – AI Workflow Discovery
AI Workflow Discovery is one of the key differentiators of the two-day programme.
Participants select a workplace process and consider:
Current Process → Problem → Desired Outcome → Waste/Duplication → Simplify → Standardise → AI Opportunity → Automation Opportunity → Human Controls → Measure
The exercise may examine people, systems, documents, data, bottlenecks, repetitive work, approvals and decision points.
The objective is to identify where AI could genuinely improve a workflow rather than simply adding AI to an inefficient process.
Where Practical AI Training Becomes Consulting
The workshop provides a high-level introduction to AI Workflow Discovery.
Where an organisation requires detailed process mapping, stakeholder interviews, systems assessment, risk assessment, solution design, integration, implementation or change management, this becomes a separate CAG AI Workflow Discovery consulting engagement.
Session 9 – Business Value & ROI
Effective Practical AI Training should ultimately contribute to measurable improvement.
Participants consider:
- Time.
- Frequency.
- Rework.
- Errors.
- Quality.
- Cost.
- Risk.
- Adoption.
- Potential capacity released.
AI opportunities can then be considered according to:
Business Value → Ease of Implementation → Risk
The workshop also reinforces an important distinction:
Potential hours saved are not automatically financial savings.
The organisation still needs to determine whether the improvement occurred and how any released capacity was used.
Session 10 – Practical Clinic, Action Plan & Q&A
The programme concludes by applying the learning to participants’ own workplaces.
Each participant identifies:
- Immediate Task: One task where AI could help now.
- Process: One repetitive process worth improving.
- Workflow: One larger workflow worth investigating.
- Risk: One governance, data or control issue to consider.
- Measure: How success could be measured.
- Next Step: Internal action, further training or Workflow Discovery.
